Planning Items are the individual choices, add-ons, and questions you add to a Package Template so couples can customize their wedding package. They control how couples respond (single choice, multiple choices, or free text), when selections are due, and how many options a couple can pick.


Planning Item options (what you can configure)

When you create or edit a Planning Item you can set:

  • Planning Item Name — a clear, keyword-rich label (e.g., Select Add Ons).

  • Response Type — how couples answer:

    • Single select (choose one option)

    • Multi select (choose multiple options)

    • Typed response (free text / short answer)

  • Required field — toggle to require a response from the couple.

  • Days Before Wedding (optional) — enter a number of days before the wedding that the item is due; the platform converts this into a deadline relative to the event date (this acts as a per-item lock-out trigger).

  • Min / Max Selections (optional) — enforce a minimum or maximum number of choices for multi-select items (for example, min 1, max 3).

These controls let venues enforce vendor deadlines, limit selections, and guide couples through a consistent planning flow.


How Planning Items work

  • Planning Items live inside a Package Template and appear to couples when they view or accept a template.

  • Days Before Wedding creates a per-item deadline; the system uses this to trigger automated email reminders so couples complete selections on time.

  • Required items and Min/Max rules validate the couple’s responses and prevent incomplete selections.

  • Response Type determines the UI couples see (radio buttons for single select, checkboxes for multi select, or a text box for typed responses).

  • Planning Items can be paired with pricing in your template (flat fee or per-guest add-ons) so selections update contract totals.


Examples of common Planning Items

  • Premium Bar — Response Type: Single Select (Standard Bar, Premium Bar). Days Before Wedding: 30.

  • Photo Booth — Response Type: Multi Select (Photo Booth, Prints, Extra Hours). Min/Max: 0 / 3. Days Before Wedding: 60.

  • Meal Preferences — Response Type: Typed Response (guest dietary notes) or Multi Select per guest.

  • Ceremony Music — Response Type: Typed Response (note preferred song/artist).

  • Day-of Coordinator — Response Type: Single Select (Yes / No). Required: Optional.


How to add or edit a Planning Item (quick steps)

  1. Open the Package Template: Dashboard → Packages → [Open Template].

  3. Fill the fields:

    • Enter Planning Item Name.

    • Choose Response Type (Single Select / Multi Select / Typed Response).

    • Toggle Required field if the couple must respond.

    • Set Days Before Wedding to create a deadline (optional).

    • Add Min / Max Selections for multi-select items (optional).

  4. Add options and pricing if applicable (each choice can include a price or note).

  5. Preview as a couple to confirm the selection flow.

  6. Save or Publish the template.


What couples see

Couples will see the planning item label, descriptive copy (if provided), the available options (radio/checkbox or text box), and any deadline information. Required items and min/max rules are enforced in the selection flow; automated reminders encourage completion before the item’s due date.


Tips & best practices

  • Use clear, descriptive names and short marketing copy so couples understand each item at a glance.

  • Set Days Before Wedding according to vendor lead times (vendor-booked items earlier than menu choices).

  • Use Min / Max to avoid selection chaos (e.g., “Choose up to 3 add-ons”).

  • Mark truly critical choices as Required to reduce follow-up.

  • Preview on mobile and desktop to confirm the couple experience.

  • Duplicate well-built items for seasonal or venue-specific variants.


How to Delete a Planning Item in Seated With Love

Short answer: Deleting a Planning Item permanently removes that question/add-on from the Package Template so couples can no longer select it. Use caution — especially if couples have already selected the item in active bookings.


Quick steps to delete a planning item

  1. Open Packages: Dashboard → Packages.

  2. Open the template: Click the template name to open the template editor.

  3. Find Planning Items: Scroll to the Planning Items section.

  4. Delete the item:

    • Click the planning item to open its editor, then choose Delete, or the trash icon

  5. Confirm: Confirm the deletion in the dialog (you may be asked to confirm the item name).

  6. Save / Publish: Save the template or Publish changes so the deletion goes live for couples.


What happens after deletion

  • The planning item is removed from the template and no longer appears to couples viewing that template.

  • Any pricing, selection rules, or deadlines tied to the item are also removed.

  • Existing bookings: Couples who already selected the item in an active booking typically retain their recorded selection in that contract — deleting the item from the template does not automatically update or remove their contract entries. Manually review affected bookings and update contracts or notify couples if needed.

  • If the system detects active bookings tied to the planning item, deletion may be blocked or show a warning. In that case, update or remove the item from those bookings before retrying.


Tips & best practices

  • Backup first: Copy or duplicate the template (or copy the planning item text and options) before deleting so you can recreate it if needed.

  • Check active bookings: Search Bookings → Active for events referencing the item and communicate changes to those couples.

  • Use Save Draft: If you’re making multiple edits, save as Draft and preview before publishing the deletion.

  • Permissions: You must have template-edit or admin permissions to delete planning items.

  • If unsure, edit instead: Consider disabling the item (remove pricing/visibility or mark it “inactive”) rather than deleting if you might reuse it later.
